Conference reporting - how it works

The process begins with a remote job brief meeting using Google Meet

After the meeting, we’ll send an email with next steps:

A checklist of what we need from you: your branding, names of participants as they should appear on screen, and participant contact details
A link to your secure cloud storage folder on our Google Drive which will act as the long term archive of project materials and central exchange of supporting files and information
Direct links to the subfolders where you can upload branding
Your contract and job brief for review
An invitation to your smartphone training session, along with companion guides to refer to on location
You can also access final cuts and raw footage for future use

Our payment terms are 50% up front and 50% 14 days after delivery.

Your project manager will connect with you on WhatsApp to answer any urgent questions throughout the process.

When it fits your schedule we spend 30 minutes in a virtual 1-on-1 training session to check your tech and plan your filming
The session will take place in your own dedicated remote studio, which will remain accessible for the duration of production
During the training, we’ll optimise your smartphone for filming, familiarise you with your remote studio and discuss the workflow particular to your event and Conference reporting package

Automated and Co-production packages

Fully-managed package

We offer 1 hour of planning support
Your project manager will talk through messaging, narrative and creative direction as either an extension of your training session or in a separate meeting
Together, you produce a roadmap for filming and narrative structure that encompasses both individual films and the entire series.

Automated and Co-production packages

Once you have completed the training on how to use your remote studio, we send you 5 session links for you to use to record interviews
These links aren’t time sensitive and you can click on them at any point and begin recording immediately in your remote studio
When you’re finished recording your video clip, it will upload to our servers automatically
If you don’t like the first take or want to add or change something, you’ll have the opportunity to re-record it once the upload is complete
Upload speed depends on your internet connection and the length of your recording - it generally takes between 1 and 3 minutes

Fully managed package

With this package you have 2.5 hours of recording time in your remote studio available
We send you a link for a recording at a scheduled time.
When it’s time for our scheduled recording session, simply click on the link provided
Our producer will be waiting in your remote studio to help you find the best lighting and framing, check your sound and prompt your messaging
If there are any technical issues or you’d like to do multiple takes, we are on hand to assist
After the session is finished, the recording(s) will upload automatically to our servers through your local Wifi / data plan.

Automated package

Let your project manager know on WhatsApp that your latest story recording file has completed uploading and we’ll get to work
We process the video through our built-in remote studio AI, which automates the process of selecting and editing short clips
If delivery times are coordinated in advance, final edited clips can be ready in as little as 1 hour from receipt of the recording file

Co-production package

Let your project manager know on WhatsApp that your latest story recording file has completed uploading and we will pass the video file to our team of editors
They enhance the audio, grade the image and make the first cuts, using your branding and any additional content, such as your b-roll or event-specific graphics

Fully managed package

Let your project manager know on WhatsApp that your latest story recording file has completed uploading and we will pass the video file to our team of editors
They enhance the audio, grade the image and make the first cuts, using your branding and any additional content, such as your b-roll and / or event-specific graphics
We also output transcripts of the recording which your team can make selects from to guide the narrative (see below).

Once the final films are complete, we upload distributable .mp4 master files to the deliverables folder of your secure cloud storage
They remain here indefinitely ready for you to distribute, along with the full-resolution master recordings for your archive
Automated and Co-production packages: 2 delivery formats
Fully-managed package: up to 4 delivery formats.

Additional support for Co-production and Fully-managed packages

If you choose Co-production or Fully managed packages, you have the option of filming additional footage of the event to enhance your videos
You can film this footage on your phone directly, not in the remote studio, and upload to your secure cloud storage using the Google Drive app or through a direct link provided by us

Once the footage has uploaded, let your project manager know via email or WhatsApp and they’ll pass it along to the editors.

If your team would like full editorial control, we can provide transcripts and a guide to making selects efficiently for our editors to work from
Once transcript selects are complete, our editors will be waiting to begin the first cut.

Once a cut of each film is complete, we’ll send a link to review it in Frame.io
All stakeholders can add their own comments and review the rest of the team’s directly on the video timeline.
Co-production package: 1 round of changes
Fully-managed package: 2 rounds of changes
Our editors will be scheduled and waiting to make any changes as soon as the notes are signed off, so we can deliver final cuts as quickly as possible.
